TIPS FOR BOOKING VENUES
When selecting a venue, there are many factors that should be taken into consideration. To help you find the ideal location for your Debs, here are some important tips:
Distance Choose a venue that will not require your guests to drive a long way to and from the venue. Preferably, the venue should only be 15-30 minutes away from where your school is located. This will ensure that all your guests will arrive on time, will allow for convenience and reduce travelling expenses.
Time
Time, just like distance, is important. You will want to set a time that is not too early yet not too late, 8pm or 9pm is an ideal time to kick off proceedings.
Budget Set a realistic budget and stick to it. Do not concentrate on finding a reception venue that offers the cheapest rate, but rather, find the one which gives value for your money. Some packages may seem to be inexpensive at first but if you take into consideration all those things that you still need to add on to the package, you may end up paying more than expected.
Check out a venue/hotel that offers almost everything that you need for your Debs, like the photographer, flowers, entertainment, drinks reception, decors, transport etc. Some hotels even extend complimentary accommodation for the Debs Committee members. These will not just give you additional savings, but will also lessen the hassle of having to contact different suppliers.
Size Make sure that your reception hall can comfortably accommodate your guests. Most reception venues will tell you it can hold 300 people. With the entire set-up, this may not be possible. If you are expecting 300 guests to attend your Debs, make sure that the venue can cater to at least 330 to 350 guests, to accommodate possible overflow at the after’s.
Experience/Customer Service In an event like this, there is no room for blunder. It is important to know the profile of the catering service. Check with your friends or past students that held their Debs at your preferred venue and get their feedback.
Also, be observant on how the event manager handles your inquiries. Ensure that you are comfortable with him/her. He/she should be able to communicate with you effectively. Furthermore, he/she should be helpful and approachable and will do everything to meet your deadlines. As early as your first encounter, you will be able to asses the capability of the service provider. If you are not satisfied with the way your inquiry was handled, chances are you will be disappointed with their service during the Debs. Look for a supplier who can deliver personalized service, a supplier who goes beyond the call of duty.
